Cloudshelf Kiosks

The POS Cafe Cloudshelf integration lets customers order from a self-service kiosk in your cafe. Cloudshelf is a Shopify sales channel app for in-store kiosks. It shows each location’s POS Cafe menu, including modifiers, and kiosk orders print or appear on Fresh KDS at the right prep areas, just like counter and online orders.

  • Your menu comes from POS Cafe. POS Cafe shares each location’s assigned collections with Cloudshelf, so the kiosk shows the same menu as your counter. There’s no separate kiosk menu to maintain.
  • Modifiers work on the kiosk. Customers choose sizes, milks and extras from your POS Cafe modifier sets, with any extra charges.
  • Orders route like any other order. Each kiosk order is sent to the receipt printers and Fresh KDS screens for each item’s prep area.
  • Menu data stays up to date. POS Cafe republishes the menu data automatically when you change your menu settings.
  • Cloudshelf is installed from the Shopify App Store, and you’ve completed Cloudshelf’s own kiosk setup.
  • Each kiosk location has an active POS Cafe license. Only licensed locations are shared with Cloudshelf. See Locations.
  • Each location has a menu. Collections are assigned to the location’s menu in POS Cafe.
  • Prep areas are set up if you want kiosk orders to print or show on Fresh KDS. See Prep areas.
  1. Publish your products to Cloudshelf. In Shopify, make sure your cafe products and your modifier products are published to the Cloudshelf sales channel. Online Store publication isn’t required for Cloudshelf.
  2. Open the Cloudshelf settings. In the POS Cafe app, go to Settings → Integrations → Cloudshelf.
  3. Publish your menu data. Click Publish / refresh menus. When it finishes, Cloudshelf menu data shows Menu data published, along with how many active locations have assigned collections.
  4. Turn on live sold-out updates (optional). Under Live menu data and sold-out updates, click Turn on so kiosks stop selling items that have run out. See the section on live sold-out updates below.
  5. Place a test order. Order an item with modifiers on a kiosk and check that the ticket prints, or appears on Fresh KDS, at the right prep area.

The Cloudshelf menu data status on Settings → Integrations → Cloudshelf shows one of these:

Status What it means What to do
Menu data published Cloudshelf has current menu data. The page shows when it was last published. Nothing.
No menu for active locations No active location has collections assigned, or no active location has a POS Cafe license. Assign collections to your location menus, or check each location’s license, then click Publish / refresh menus.
Not published Menu data hasn’t been published yet. Click Publish / refresh menus.
Published data invalid The published menu data is damaged. Click Publish / refresh menus to repair it.
Status unavailable POS Cafe couldn’t check the status. Click Check status, or reload the page.

The same page also shows your Online ordering menu status. If you only sell through Cloudshelf and not your online store, a message that no Online Store menu is available is expected.

Live menu data and sold-out updates is an optional setting shared by Cloudshelf kiosks and POS Cafe online ordering. You’ll find it on the Cloudshelf settings page and on Settings → General Online Ordering Settings. When it’s on, an item that sells out at a location is removed from the kiosk within seconds and comes back once it’s restocked. See Live Sold-Out Updates for the timings and which items count as sold out.

Check three things, then click Publish / refresh menus:

  1. The product’s collection is assigned to that location’s menu in POS Cafe.
  2. The product is published to the Cloudshelf sales channel in Shopify.
  3. Its modifier products are also published to the Cloudshelf sales channel.

Check that Live menu data and sold-out updates is on. Then check the product in Shopify: stock must be tracked, and the product must be set to stop selling when out of stock. Restocked items can take up to about 15 minutes to reappear.

A kiosk order didn’t print or reach Fresh KDS

Section titled “A kiosk order didn’t print or reach Fresh KDS”

Check that the items belong to products with a prep area, and that the location’s printers or Fresh KDS screens are set up for that prep area. Kiosk orders follow the same routing as counter and online orders. If everything looks right, contact our team with the order number.

My menu changes aren’t showing on the kiosk

POS Cafe republishes automatically when you change your menu settings. If a change still hasn’t appeared, open Settings → Integrations → Cloudshelf and click Publish / refresh menus. This also refreshes your online ordering menu.
